Which coaches are offered to students?

There are two ways for a student to choose a coach: 

  1. When they register for Souled
  2. If they do not have a coach, they will have a page called “Get a Coach” in the portal

The system chooses which coaches will appear according to an “algorithm”. The following is how the algorithm works:

  • Up to 8 coaches will appear (not more)
  • Only coaches who have capacity for more students appear. In other words, if you have capacity for 25 students and you are currently matched with 24, you can appear. Once you have 25, you will not appear (until one of your students is taken off your list or you ask your manager  to increase your capacity).
  • Sometimes we partner with organizations and we set specific coaches aside to be matched with students from that organization. In this case, a coach who is exclusive to an organization will only appear for students from that organization and not for other students. You will always know when you are being set as exclusive to an organization. It will not be done without being discussed with you first.
  • Priority: When there are more than 8 coaches who fulfill the criteria listed above, the system is designed to give the student the best possible experience, by offering her the most choices possible to schedule a meeting. The coaches who appear will be the coaches who have the most available slots in the next 7 days between 9am and 11pm in the timezone of the student who is choosing a coach. For example, if a student registers in Israel on Sunday January 1st, the 8 coaches who have the most available slots between 9am and 11pm Israel time on January 2nd - January 8th will appear.
    • Defining “available slots”: Each coach is able to set the times that she is available on a weekly basis for new students. These are your available slots. However, you can also block slots by adding events to your Outlook calendar. For example, if a coach sets her availability for Sundays 8pm-9pm, but on a specific Sunday she adds an event to her Outlook calendar on Sunday night at 8pm, the system will not consider that as an available slot for that particular week, since a student cannot schedule a meeting with her during that time.

In summary, the determining factors of whether you are appearing for students or not, are:

  • If you have capacity for more students
  • How many other coaches have capacity for more students
  • The location of the student
  • Whether you are currently exclusive to an organization or not
  • How many available slots you have (in comparison to other available coaches)
