Clarification of Reasons" in Bob

When recording your work time in Bob, you should always include a Reason for each entry.

When choosing the Reason “Student Meeting”, you should add a Note with the name of each student you met with during that time.

 

There are two ways to create an entry in Bob. You can either "Clock In" and “Clock Out” as you work, or you can manually create an entry after you have finished working for a period of time or at the end of a day by clicking on that day. 

When you add a manual entry, Bob will require that you include a “Reason” in order to create the entry. When you clock in and out, however, you will not be asked to include a reason. Therefore, it is important to go back and edit the entry to add the Reason.

Here is a list of the Reasons in Bob, and when you should use each one. Please note that some of the activities listed can only be considered work time if they are pre-approved (learn more here). :

Retroactively Logging Work Time Do not use
Student Meeting When meeting with students. Make sure to add the student(s) name(s) in the Note section.
Professional Development Mandatory professional development events, watching professional development content in the staff library
New Hire Training When you are training as a new coach
Coaching Follow-up This is used by coaches who call students who have registered but did not choose a coach
Educator This is used if you teach a class
Event When spending time working on a Souled Event
Prep Time Used when you spend time preparing for meetings with students. If you are preparing before/between meetings, include the prep time in your entry for Student Meeting (no need for a separate entry for the prep time - more details here)
Documentation/Scheduling Used when you spend time reporting about your meetings or other documentation, as well as if you spend time scheduling meetings. If you are documenting or scheduling before/between meetings, include the documentation time in your entry for Student Meeting (no need for a separate entry for the documentation - more details here)
Student Cancellation When a student cancels within 24 hours of the scheduled meeting time (more details here)
Supervision with coach This is used by managers (only), when they meet with a coach
Supervision with manager This is used by coaches, when they meet with their manager
Unpaid time off  
Other, see notes Do not use
Staff meeting  
Facilitating student experience Time spent arranging in person experiences for your students or encouraging them to attend trips/events
