Paid Time Off Benefits
This section offers a general overview of the paid time off benefits available to Souled Coaches.
These benefits do not create a contract of employment or guarantee of future benefits. Souled reserves the right to modify, amend, interpret, or discontinue any benefit at its sole discretion.
Paid Holidays
Souled Coaches are eligible for holiday pay for Jewish holidays that occur between Monday and Friday.

Holiday Scheduling
Coaches are allowed to schedule or conduct student meetings on paid holidays and will still be entitled to receive their holiday pay in addition to pay for the hours worked. According to Rav Asher Weiss, coaches are allowed to log hours for work done on Shabbos and yom tov, since they are paid for weekday hours together with these hours.
Eligibility: Souled Coaches must have worked for at least 90 days to be eligible to receive holiday pay. Coaches who are out on an extended unpaid leave period are not eligible for holiday pay. If a Coach takes approved paid sick leave before or after a holiday, it will not affect holiday pay eligibility.
Receiving the Benefit: Holiday pay will be automatically populated onto the Coach’s timesheet based on the coach’s average daily hours (defined below).
Amount of Holiday Time Received: Holiday pay is based on each Coach’s average daily hours worked over the past six months. The average daily hours are calculated by dividing their weekly hours by five days. For example:
- A Coach working 20 hours per week: receives 4 hours of holiday pay per holiday: (20 hours a week ÷ 5 days a week = 4 holiday hours received).
- A Coach working 15 hours per week: receives 3 hours of holiday pay per holiday: (15 hours a week ÷ 5 days a week = 3 holiday hours received).
Look-back period: This average is calculated every September 1 and March 1, based on the actual hours worked in the previous six months. Holiday hours, sick leave and unpaid leave hours are not included in the calculation. Each Coach’s calculated daily average will be applied to all eligible holidays during the following six-month period. Souled reserves the right to modify the holiday schedule at its discretion. Any changes will be communicated in advance.
Paid Sick Leave
Amount of Sick Time Received
Sick leave accrues monthly, at a rate of 1 hour for every 30 hours worked, for up to 56 hours per calendar year. The maximum sick leave an employee can accrue per calendar year is the equivalent of 7 full sick days, based on their average daily hours. For example:
- A Coach working 20 hours per week (4 hours per day) may accrue up to 28 hours of sick leave per year (4 hours a day × 7 sick days).
- A Coach working 15 hours per week (3 hours per day) may accrue up to 21 hours per year (3 hours a day × 7 sick days).
For first-year staff: Sick leave will accrue from the date of hire through December 31st.
Usage
Sick leave may be used in hour-based increments for preventive health care or to address any other health or sick-related matters for yourself or immediate family members. This includes:
- Caring for a sick child or family member.
- Attending a medical appointment for yourself or a family member.
- Sick leave may not be used for general childcare needs, vacation, or personal time off that is not related to health or medical reasons. For personal time off, please refer to the Unpaid Time section of this policy.
On any day that sick leave is taken, coaches must not schedule or perform any work-related tasks, including student meetings, administrative work, or other job responsibilities. Additionally, no work time should be logged in HiBob or any other tracking system for that day when sick leave is taken.
If a Coach works part of the day and then becomes sick, they should only record sick time for the hours they were unable to work. Any hours worked prior to becoming sick should be recorded as regular hours.
A coach is not required to reschedule meetings missed on a sick day to ensure a 1 in 14-day frequency with those students, but she is encouraged to do so for the sake of the students. Rescheduled meetings are paid for even though the coach was also paid for the sick day.
Unused Time
Sick time is meant to be used as needed. Any unused time is carried over, up to a maximum of 10 days.
Request for Leave
When sick time is needed, Coaches must enter their request on HiBob as soon as possible and notify their students so meetings can be rescheduled accordingly. Planned sick leave should be submitted through HiBob as far in advance as possible. If a Coach anticipates that taking sick leave, whether for a single day or an extended period, may impact their ability to maintain their regular schedule with students, they must inform their Coach Manager to discuss a plan for continuity. If all paid sick time is exhausted, any additional time off will be considered unpaid sick leave. In cases where a Coach is out for more than 14 consecutive calendar days, arrangements must be made with the Coach Manager to ensure student learning frequency requirements are upheld.
Unpaid Leave
At Olami Souled, we understand that Coaches may occasionally need extended time off for personal reasons. This policy outlines the unpaid leave guidelines for U.S.-based Coaches, while ensuring student learning continuity.
Eligibility
All U.S. based Souled Coaches are eligible to take unpaid leave for personal reasons, not covered by paid time off.
Clarification: What is considered “time off”?
Souled coaches have flexibility to choose what days and hours they want to work. Not working on a particular day is not considered taking time off, and does not require notifying a manager or requesting leave. As long as the coach is able to meet with all her students at least once in 14 days, she can choose to not work whenever she wants, and reschedule students to fit her needs. Unpaid leave is meant for situations when the coach wants to not work for an entire week or two full weeks, without maintaining 1 in 14 frequency with her students. This section describes the parameters of when and how this is done.
Usage
Coaches may take up to 14 days of unpaid leave per calendar year, which can be taken as either:
- One 14-day period, or
- Two separate 7-day periods
- Unpaid leave must be taken in full-week increments (7 or 14 consecutive days)
- The 7 and 14 days are calendar days (not work days) - including weekends
- Unpaid leave can not be taken during the two weeks prior to, or the two weeks following, Sukkos and Pesach
To maintain student engagement during unpaid leave:
- Coaches must proactively reschedule meetings before or after their leave period.
- After a 7-day leave, Coaches are expected to meet with each student within 21 days of the last meeting.
- After a 14-day leave, Coaches are expected to meet with each student within 28 days of the last meeting.
- Coaches on unpaid leave are not eligible for holiday pay during the leave period.
Request for Leave:
- Coaches must submit all unpaid leave requests through HiBob at least two weeks in advance, whenever possible.
- Leave requests must be approved by the Coach Manager before the leave is taken.
- Coach Managers will review each request based on workload, student impact, and program needs.
- Coaches are responsible for notifying students of their planned leave and rescheduling meetings accordingly.
Failure to obtain prior approval for unpaid leave may result in:
- A pause in new student assignments
- Adjustments to caseload
- Additional action as determined by management

We encourage you to share your exciting news with your Coach Manager as soon as you feel comfortable. Early notification helps Souled plan marketing and staffing needs for the coming months, ensuring a smooth transition for everyone.
Eligibility & Leave Duration
- Souled Coaches who have worked with Olami for at least 12 months may be eligible for up to 12 weeks of job-protected, unpaid leave.
- The exact duration and protections may vary based on your local laws. Speak with HR to understand what applies to you.
- You may choose to return to work earlier than 12 weeks if you are ready.
- Upon returning from maternity leave, there will be a graduated increase to your student load capacity, allowing for a smoother re-entry. This ramp-up process may take 6 weeks or longer, depending on overall student volume and program needs.
Disability Leave
You may also be eligible for paid disability leave, depending on your state or country. HR can help you determine whether you qualify and guide you through the process of accessing benefits.
Job Protection
We aim to retain our valued team members. However, if your role is not protected by law, Olami reserves the right to fill the position based on program needs. If this applies, we’ll be in touch in advance and work together on next steps.
Planning Your Leave
We kindly ask that you inform your Coach Manager as early as possible, ideally 12 weeks before your expected leave, so we can make thoughtful plans for student coverage and team support. We understand that every situation is different and will work with you on a plan that balances your needs with those of the program.
