Coach Availability
Letting the system know which days and hours you are available to meet with a new student
There are two places where a Souled student is offered to choose a new coach: during registration and in the portal (if she doesn't have a coach). In order to offer her the most relevant coaches and allow her to schedule a meeting, the system needs to know when each coach is available throughout the week. There are two tools that you can use to make sure that your availability is appearing accurately for new students: The Availability Form and your Outlook calendar.
The Availability Form is used for letting the system know when you are generally available to meet with a new student, on a consistent weekly basis. For example, if you can meet with new students every week on Mondays at 10:00 AM, you would use the form to indicate this.

Your Outlook calendar is used to block off specific times when you are not available. For example, if you are generally available on Mondays 10:00-11:00 AM, but on Monday July 29th you have an appointment and you don't want the system to schedule you a meeting with a new student that morning, you can open your Outlook calendar and create an event at the time of your appointment. The system will see that you are busy during that time and it won't offer 10:00-11:00 AM to a student on July 29th, even though it is included in your general availability.

Similarly, every time you schedule a meeting with a student in the system, it gets added to your Outlook calendar and that time is not offered to any other students.

How to Use the Availabilty Form
Here is a short tutorial that will show you how to use the Availability form to let the system know when you are consistently available on a weekly basis. It is important to make sure that this is always up to date and accurate. It is also important to note that opening yourself up to more availability increases your chances of getting new students.
