Email and Calendar

When you join the Souled Team, you're issued a Microsoft Outlook license, which means that you have an Olami email address and an Outlook calendar (Microsoft bundles these two products into one piece of software, which they call “Outlook”). You can log into that account to see your email and calendar at https://outlook.office.com/. It is important to stay on top of your emails. Important updates and reminders are sent to your work email on a daily basis.

Your Outlook calendar is something that you can use if you'd like, but you are not required to. When you schedule a meeting with a student, it will appear in your Outlook calendar. This was set up to make it easier for Souled Coaches to see their schedules.  You can also block off time so that students cannot schedule meetings with you when you are not available. Outlook automatically sorts emails into categories “Focused” and “Other”. It is recommended to turn off the "Focused" feature so all mail goes to one place. See Instructions here.

The admin team has access to your Outlook inbox and may have to access it from time to time. Please do not use it for private emails.

 

The Student Portal

Throughout this documentation, we will refer to “the student portal” many times. What is this portal? It is an online resource for Souled students, where they can find content, classes, and tools that will connect them with learning, opportunities, and other people in Olami. You can log into the portal here: https://online.olami.org/main/s/login using your Olami email address and the password Souled123. The student portal is customized to each person who logs in. As a Souled Coach, you will see things in the portal that students don't see. And students in each Olami program see different content and features when they log in, based on what program they are registered for. It is a good idea to familiarize yourself with the student portal and how it can be used to help you as a Souled Coach. You can learn more about that in the Souled Staff Library (search “portal”).

The PowerBI Dashboard

One of the cornerstones of Souled is that we believe in harnessing modern technology to help us excel at achieving our goals. Data collection and reporting is an essential element to making sure that no student falls between the cracks, and every Souled Coach has a clear, transparent view of her students and where each one is holding holding at all times. We use a Microsoft tool called PowerBI to monitor your interactions with your students. In order to see your PowerBI dashboard, click here. The Coach Portal

As mentioned above, data reporting is essential to Souled. As a coach, one of your primary responsibilities is to report on each meeting that you have with a student, as well as about certain other occurrences. Reporting is done using a tool that you can find here. A lot of effort has gone into making the reporting as simple and quick as possible, and we are always working on improving it. Your Zoom Account

As a Souled Coach, you are supplied with a paid Zoom account. All of the settings for this account are taken care of for you. You have no need to log into your account and update the settings. A unique link that includes your name is what students will use to join meetings. This link is sent to you and them automatically before meetings. To log into the Zoom app on your computer or phone, use your Olami email address and the password Souled123.

Time Tracking

Olami uses a tool called Bob to track work time. When being onboarded, you should have received login credentials for Bob. For detailed instructions about logging your work as a Souled Coach, see here.

WhatsApp Chats

There are three WhatsApp chats for Souled Coaches. The first group is called "Announcements - Souled". This is where Souled staff will share important updates with you. It is important to read all of these updates. The second WhatsApp chat is called “Souled Team”. This is where Souled staff share ideas, inspiration, tips, and information with each other. The third chat is for help with technical issues. You will be added to the first WhatsApp chat when being onboarded as a Souled Coach and you will receive a link to join the others via email.

The Olami Ladies Mishpacha chat is a group filled with mekarvos from all over the world who have a wealth of knowledge and resources for our students, including in-person shabbos tables and experiences, books, and general knowledge on subjects that come up.
